The City of Naumburg cut 105 devices to 50 with Kyocera managed document services
Devices bought and run department by department made budgeting impossible. Consolidation and an all-in rental contract gave the council control.
This is a Kyocera Document Solutions case study about the City of Naumburg in Germany. It is not an Omni Technologies installation; it shows what Kyocera's managed document services approach can achieve.
The results
- 105 → 50Devices: 25 copiers and 80 printers became 30 MFPs and 20 printers
- First timePrecise budgeting and cost control of all devices
The challenge
Individually used and locally run devices, with paper, toner and spare parts bought separately, wasted resources and made reliable budgeting impossible. Weak security standards left the council open to misuse. Savings were wanted but hard to put into practice.
What was done
- Consolidated processes to shrink the fleet while using each device much more.
- An all-in service rental contract for clear budgeting and cost control.
- Central collection of device usage, paper and toner consumption and user rights, for transparency.
- Printing rules (for example for A3, colour and double-sided printing) for more efficiency.
- An authentication procedure for one consistent security standard.
What changed
- Substantial cost savings from the smaller fleet and the printing rules.
- Higher data security standards without more administrative work.
- Simpler administration and accounting through central device management.
“Other municipal administrations have been completely surprised at how much can be saved through copying and printing infrastructure, and they come to us to see what we have attained.”
