43 Air School cut its annual print cost by 15.5%
A flight school with 450 people printing and scanning had little control over either. A Kyocera fleet with print accounting and automatic scanning changed that.
The results
- -15.5%Total annual print cost
- Any deviceStaff release prints at any device with a PIN
- AutomaticScanned documents archived without manual filing
The challenge
43 Air School trains pilots for the private, commercial, airline and military sectors, with 300 trainee aviators, 50 instructors and 100 support staff. Printing by students and staff was barely tracked, scanning was poorly managed, and the print and scan department struggled with the volume of documents to scan.
What was done
- An assessment of the hardware, print process and scanning process, with management, the IT department and the printing department.
- The mixed-brand fleet replaced with Kyocera multifunction printers to lower output costs.
- KYOCERA MyQ for clear print volume and cost monitoring, security, and print accounting per student, department and workgroup.
- ScannerVision on every device, with optical character recognition (OCR) and automatic archiving to a central folder.
- A personal PIN for every staff member to unlock the devices.
- Cost-saving rules: black-and-white and double-sided by default, and duplicate jobs deleted automatically.
What changed
- Total annual cost decreased by 15.5%.
- Staff print and release jobs on any device with a PIN.
- Staff usage decreased.
- Documents are scanned and archived automatically.
“Since joining 43 Air School in 2013 as the IT Manager, I have had the pleasure of dealing with Omni Technologies (Pty) Ltd and can honestly confirm that I have never received such punctual response to any queries or problems. The machines are easy to operate and the training provided to all staff was of true excellence.”
